Terms of Service & Policy

Booking Policy: Brother Tours ensures a smooth booking experience for all clients. A 30% deposit is required to confirm your booking, covering the cost of vendors such as guides, boats, coaches, and hotels. Full payment is required 45 days prior to the tour departure date. If Brother Tours is only providing land services (excluding hotels and airfare), a 20% deposit will be required, and the remaining balance can be paid upon arrival in Laos.

In cases of unforeseen circumstances beyond our control, such as bad weather, flooding, political issues, or other force majeure events, Brother Tours reserves the right to adjust travel dates, provide alternative arrangements, or replace excursions.

Out-of-Control Situations Policy: In the event of situations beyond Brother Tours’ control, including but not limited to bad weather, flooding, political unrest, natural disasters, or other unforeseen circumstances:

Brother Tours will make every effort to adjust the travel dates, offer alternative itineraries, or replace the affected excursions with similar experiences.
Additional costs incurred due to such changes, including alternative accommodation or transportation, will be communicated to the client and handled based on availability and feasibility.
Brother Tours will not be held liable for any non-refundable expenses or personal losses due to force majeure events.
Clients are encouraged to have travel insurance that covers such situations, including medical evacuation, delays, and cancellations caused by force majeure.

FOC Policy (Free of Charge) for GIT:

Groups of fewer than 15 paying participants: No FOC.
Groups of 16 participants: 15 participants pay, and 1 participant is free (FOC).
For groups of fewer than 15 participants but traveling with a tour leader, FOC will be considered on a case-by-case basis, depending on the tour features, length of stay, and hotel category.

Child Policy:

Children under 7 years old stay free of charge when sharing a room with parents (without an extra bed).
Children aged 7-12 will be charged 50% of the adult tour fee.
Children aged 12 and above will be considered adults and charged full price.

Accommodation Policy: All quoted prices are based on double/twin sharing for two persons per room for both group tours (GIT) and individual travelers (FIT). For single accommodation requests, quotes will be provided per each specific tour and hotel level upon request.

Check-in and Check-out Policy:

Standard hotel check-in time: 2:00 PM
Standard hotel check-out time: 12:00 PM
Early check-in and late check-out requests are subject to additional charges based on the hotel’s policy.
Payment Policy:

All tour costs are quoted in USD per person.
Payments can be made in cash (USD preferred) or other payment methods as per the recent bank rate. Please note that in Laos, USD cash must be in pristine condition, with no cuts, ink marks, or scratches.
A 30% deposit is required to secure bookings, including for guides, boats, coaches, and hotels.
Full payment is required 45 days before the tour departure date.
For land services (excluding hotels and airfare), a 20% deposit is required, with the remainder to be paid in cash upon arrival.
Invoices for all bookings and payments will be provided by Brother Tours’ travel specialists.
All prices exclude transaction fees, which must be paid by the customer unless otherwise stated in promotional offers.
Price and Product Accuracy: Brother Tours endeavors to provide accurate quotes and product descriptions for all tours, hotels, and activities. We reserve the right to correct any errors, inaccuracies, or omissions and to update information at any time without liability or prior notice. As fares for airline tickets, hotels, and other services fluctuate regularly, we recommend immediate payment to guarantee quotes. Final rates will be rechecked at the time of payment, and any increases (due to fares, taxes, etc.) will be payable regardless of earlier quotations.

Travel Insurance: Tour prices DO NOT include medical or travel insurance. We strongly recommend purchasing insurance, including medical evacuation coverage, before your departure.

Passports and Visas: Passports: Ensure your passport is valid for six months beyond your departure date and that you have obtained any necessary visas before traveling. Brother Tours will not be held responsible if you are denied entry due to improper documentation.

Passport Details: If applicable, provide your passport details for visa processing or permits at least four weeks before the trip or 30 working days in advance.

Visas: Verify visa requirements for your destination with a Brother Tours specialist at least 30 days before your departure. Some countries may require passport photos for visa processing.

Cancellation Policy:

All cancellations must be made in writing and acknowledged by Brother Tours. A 10% handling fee will apply for cancellations made 30 days or more before the scheduled departure, unless there are additional charges from hotels, airlines, or other contractors.

Cancellation Fees:

More than 30 days before departure: 10% of the total tour price.
Between 30 and 21 days before departure: 25% of the total tour price.
Between 20 and 8 days before departure: 50% of the total tour price.
Between 7 days and 48 hours before departure: 75% of the total tour price.
Less than 48 hours before departure: 100% of the total tour price.
For land services only (without accommodation and airfare):

Canceled more than 14 days before the tour: No charge.
Canceled 7-14 days before the tour: 20% charge.
Canceled 3-7 days before the tour: 40% charge.
Canceled less than 3 days before the tour: 60% charge.
No-show: 80% charge.
Note: Depending on airlines, hotels, and cruise operators, the above cancellation policy is subject to change.

Complaints: If you are dissatisfied with any aspect of our services during your trip, please immediately address your complaint to Brother Tours via our emergency number or by email to your travel specialist. For formal complaints, submit them in writing within one week after your return.

Brother Tours encourages open communication to resolve issues promptly. Feedback, comments, or complaints must be addressed immediately to allow the opportunity to rectify the situation during your trip.

Third-Party Suppliers: Brother Tours acts as an agent for third-party providers and conducts regular quality control of all suppliers. However, we are not responsible for the acts, errors, omissions, representations, or negligence of third-party suppliers.

Liability Disclaimer: Brother Tours is not liable for any acts, omissions, or negligence of third-party suppliers, nor for any personal injuries, death, property damage, or other damages resulting from their services. We are not responsible for delays, re-routing, or cancellations caused by natural disasters, epidemics, adverse weather conditions, government restrictions, or other events beyond our control.

Personal Data Protection: Brother Tours ensures that your personal information is stored securely and will not be shared with third parties. We may contact you occasionally with relevant products or services. You may request to access or amend your information or opt-out of communications at any time.
